Direct Answer

A molded pulp RFQ succeeds or fails on the spec sheet, not on the negotiation. Twelve fields decide whether the quotes that come back are comparable: fiber type and grade, forming process, dimensions with tolerances, wall thickness and rib geometry, load requirement, barrier and food-contact need, decoration, annual volume with order pattern, MOQ acceptance, packing and carton cube, target Incoterm and destination, and sample timeline. Suppliers who receive all twelve come back with numbers a buyer can line up side by side; suppliers who receive a photo and a quantity come back with three different products and three different prices. biopackbox treats the spec sheet as the first quality document of the project, because every later dispute — tolerance, barrier, cube, lead time — is settled by what was written before the first tool was cut.

Opening Hook

A foodservice chain's packaging manager sends the same drawing to six molded pulp suppliers, gets six quotes, and picks the cheapest — then watches the first pallet fail. The trays are 4% out of tolerance, they nest too tightly for the denester, and the barrier is not the one the menu needs for a 90 C side dish. The cost of that decision was not the price difference between quote three and quote six; it was a re-tool, a re-sample and six weeks of lost shelf test. The suppliers were not lying and the buyer was not naive — the RFQ simply never said what "good" meant. A molded pulp RFQ is a specification exercise before it is a commercial one, and the buyers who win are the ones who write the ten minutes of tolerance, barrier and volume detail that make every quote answer the same question.

The Twelve Fields That Make Quotes Comparable

Every field below removes one degree of freedom from the supplier's interpretation. If a field is missing, each supplier fills the gap differently and the quotes stop being comparable.

#RFQ FieldWhat to WriteWhy It Changes Price
1Fiber type and gradeBagasse, recycled newsprint, or mixed; virgin or recycled shareFiber cost and color consistency
2Forming processThick-wall, thin-wall, or thermoformedCycle time and tooling type
3Dimensions and tolerancesDrawing with a stated tolerance band, e.g. ±0.5 mmTighter band = more scrap
4Wall thickness and ribsNominal wall plus rib patternStiffness without added fiber
5Load / stackingStatic load in kg, stacking height, durationDrives wall thickness
6Barrier and food contactPFAS-free water-based, grease hold-out, hot-fill temperatureCoating cost and certification
7DecorationDeboss, emboss, or print; artwork file referenceTooling and setup
8Annual volume and patternAnnual units plus order frequency and lot sizeAmortization and run length
9MOQ acceptanceWhether the supplier's MOQ fits the launch planOrder structure
10Packing and carton cubePiece-per-carton, carton dimensions, pallet patternFreight and warehouse cost
11Incoterm and destinationFOB port, CIF, or DDP with the delivery addressFreight and duty exposure
12Sample timelineRequired date for first-article samplesAir vs. sea scheduling

The rule that makes the whole table work: require every quote to be returned against this sheet, with a deviations column. A supplier that cannot meet a field writes the deviation rather than silently quoting something else. Deviations are the most useful part of a molded pulp quote, because they tell the buyer where the technical risk actually sits.

Data: TAPPI's fiber packaging technical resources document that fiber type, forming process and wall construction determine the mechanical performance of a molded pulp article — the same variables a buyer is unknowingly leaving open when a spec sheet omits them.

Judgment: Write fiber grade and forming process into the RFQ as mandatory fields, because a quotation that names neither is a price without a product, and no later test result can be defended against a spec that was never fixed.

Tolerance, Barrier and Food Contact Language Buyers Should Demand

Three clauses separate a prototype-stage RFQ from a production-grade one.

ClauseWeak VersionPurchasing-Grade Version
Dimensional tolerance"as per drawing""±0.5 mm on length and width; ±0.3 mm on seating features, measured on the finished article"
Barrier"grease resistant""PFAS-free water-based barrier; grease hold-out tested per agreed method; hot-fill to 90 C without wicking"
Food contact"food grade""per-SKU food-contact statement issued for each finished SKU, covering fiber, barrier and any ink"

The food-contact line is the one buyers most often leave vague, and it is the one an auditor will ask for by product. A finished molded pulp tray is not covered by a generic "food grade" claim: the fiber, the coating and the ink each carry their own status, and the statement must name the finished SKU. Ask for it in the RFQ and it arrives with the samples instead of with a retail audit eighteen months later.

Tolerance deserves the same discipline. A ±0.5 mm band on a nesting tray is generous; on a lid seat or a heat-seal lip it is not, and the acceptance question is always the same one — measured on what, with what gauge, on how many pieces. Writing the measurement method into the RFQ converts a future argument into a current specification.

Data: FDA's food-contact substance framework covers each material and additive that comes into contact with food, so the fiber, the barrier coating and the printing ink are assessed as separate components rather than inheriting one another's status.

Judgment: Require a per-SKU food-contact statement at quotation stage, because a supplier that cannot name the document for the finished article at RFQ will not produce it during a customer audit either.

Commercial Terms That Belong in the RFQ, Not the Contract

Buyers who leave commercial mechanics to the contract stage pay for it in rework. Put them in the RFQ and every supplier prices the same risk.

TermAsk in the RFQContract Effect if Omitted
Tooling ownershipWho owns the mold, on what payment milestoneBuyer may pay twice for the same tool
AmortizationTooling billed upfront or per pieceHidden cost shifts the real piece price
MOQ per SKUMOQ for launch order vs. repeat orderLaunch becomes unaffordable or overstocked
Lead timeProduction lead time vs. total order-to-doorLine-down risk moves entirely to the buyer
Change controlWritten approval before any mold, fiber or coating changeSilent substitution
Packing specCarton, pallet and labeling specificationArrival damage and labour cost

Two of these deserve a sentence each. Tooling ownership is the most expensive omission in molded pulp sourcing, because a buyer who has paid for a tool without a written ownership clause is negotiating from zero if the relationship changes. Change control is the quietest: an unannounced fiber or coating switch invalidates both the food-contact statement and the compostability listing the brand has already printed on the pack.

Quote structure matters as much as quote content. Require three separate lines — tooling, sampling, and piece price by volume break — so that a low piece price cannot hide an extraordinary tooling charge, and a low tooling charge cannot hide a piece price that only works at volumes the brand has not committed to. The same discipline governs the MOQ decisions covered in our custom molded pulp design and MOQ guide. For buyers comparing a switch against an incumbent material, our cost comparison of compostable packaging at B2B scale shows how to place these lines inside a total-cost model, and the same three-line discipline applies to every quote you receive.

Data: ISO's management and testing standards define the documentation and quality-system evidence a buyer can require from a supplier, including the sampled measurement and inspection records that support an agreed tolerance.

Judgment: Write the inspection method into the RFQ rather than the contract, because a tolerance without a named measurement method and sample size is not enforceable and will be re-litigated at the first rejected lot.

An RFQ Timeline Buyers Can Hold Suppliers To

An RFQ without dates becomes an open-ended request. Publish the schedule with the sheet.

StageBuyer ActionSupplier DeliverableTypical Window
RFQ issuedSend spec sheet + drawingAcknowledge and raise clarificationsDay 0
Clarification roundAnswer in writing to all biddersRevised quote against the same sheetDay 3–5
Quote package dueReceive three-line quotesTooling, sampling, piece priceDay 10
Technical reviewScore deviations, not price aloneSample plan and lead timeDay 12–15
Tooling releaseConfirm ownership and milestoneMold build startsDay 15
First-article samplesEvaluate against the spec sheetSamples plus per-SKU documentsAgreed sample date
Production releaseFreeze the spec versionFrozen spec + change-control clausePost-approval

The scoring discipline is the part most teams drop. Score the deviations first and the price second: a supplier with two deviations and the lowest price is usually the more expensive option once the deviations are priced. Then freeze the specification that was actually quoted — a spec sheet that keeps changing after tooling release is the single most reliable way to generate disputes at first article.

Data: Lean Enterprise Institute's process and supplier-management resources describe how standardised, written specifications and closed-loop review eliminate the rework that informal quoting produces.

Judgment: Publish one spec version and one deadline to every bidder, because a fair molded pulp comparison requires that the same question was asked of everyone, and informal side conversations destroy exactly that condition.

The Bottom Line

A molded pulp RFQ is a specification document wearing a commercial hat. Write the twelve fields, demand deviations rather than assumptions, and keep tooling, sampling and piece price on three separate lines; the quotes that come back will finally be comparable, and the tool that gets cut will be the tool you approved.
